Terms and Conditions for Entry Fee Payment and Refund

To ensure clarity and fairness for all participants, we hereby define the following rules regarding the payment and refund of entry fees for competitions organized by StormDance.
1. Entry Fee Payment
- The entry fee must be paid no later than the registration deadline stated in the official competition announcement.
- Unpaid registrations after the deadline may be excluded from the competition without entitlement to participate.
- Payment can be made only by credit or debit card through the official WDSF registration portal, following the successful registration of the competitor.
- Detailed instructions for payment are sent via email after registration is completed. Participants are responsible for following the instructions carefully, including selecting the correct categories when paying.
2. General Refund Policy
- By registering and paying the entry fee, the competitor (or their legal guardian) confirms agreement with these terms.
- Entry fees are non-refundable after the registration deadline, regardless of the reason for withdrawal.
3. Valid Reasons for Entry Fee Refund
Entry fees will be refunded only in the following exceptional cases caused by the organizer:
3.1. Schedule Error:
- Overlap of multiple disciplines or categories entered by the same dancer at the same time, without a viable option to reschedule.
- Placement of disciplines in unreasonably distant locations or time slots that objectively prevent participation.
- Cancellation of a discipline from the competition program by the organizer after the registration deadline.
3.2. Administrative Error by the Organizer:
- Incorrect placement of a competitor into an inappropriate age or performance category, which cannot be corrected in time.
- Duplicate registrations caused by a technical error in the system, resulting in excessive entry fee charges.
4. Invalid Reasons for Refund
Entry fees will not be refunded in any of the following (or similar) cases:
- Illness, injury, or other health-related issues of the dancer or their companions.
- Personal, family, academic, or travel-related reasons for absence.
- Disagreement with the judging panel, competition conditions, music selection, or atmosphere of the event.
- Late arrival at the competition due to reasons not caused by the organizer.
- Change of decision by the competitor or coach after the registration deadline.
- Event cancellation or interruption due to force majeure, such as epidemics, natural disasters, or decisions by state authorities.
5. Requesting a Refund
- In exceptional cases, as described in Section 3, a written refund request must be submitted by email to the organizer within 5 calendar days after the competition date.
- The request must include:
- the name and WDSF ID of the competitor,
- the specific discipline(s) concerned,
- a clear explanation stating the issue with the schedule or system,
- the last 4 digits of the payment card used for entry fee payment, for identification within the WDSF system.
6. Additional Provisions
- Any refund applies only to the affected disciplines, not to the entire entry fee.
- If the request is approved, the relevant amount will be refunded within 30 days of approval, back to the original payment card.
- Entry fees are non-transferable to other persons or future events.
- The organizer reserves the right to reject any request that does not meet these criteria or is found to be unjustified.
The organizer reserves the right to update or amend these terms. The current version will always be available on the official competition website and within the event announcement.
